This position ensures that customer requirements are met quickly with satisfaction in the areas of order entry and processing, communications, and delivery of the product based on Ship Method.
Responsible for effective response to customer requests (internal/external), problems, and special needs.
Works closely with marketing and sales, accounting, production, receiving/shipping in coordination of complete Forecast to Cash cycle.
Principal Duties and
Responsibilities:
Responsible for all aspects of customer orders from receipt to product delivery (Wesley routed or customer routed), ensuring customer satisfaction.
Respond to customer/dealer inquiries, confirming orders, advising status of orders, shipping advice.
o Work closely with Production in the areas of shipping schedules, sales information, forecast changes, and information regarding significant events that may impact the production schedule as information becomes known through the customer interface.
Team with Logistics to determine the most efficient and cost-effective way to deliver the product.
Contact customers when carriers do not pick up orders as scheduled.
Assist with investigation and resolution of customer complaints.
When necessary, research and provide information to issue credit memos and make appropriate adjustments to customer accounts working with Accounting and Customer Service Manager.
Support Marketing and Sales with information on historical data when applicable inclusive of product pricing, freight pricing, literature, samples, and special requests of Wesley customer/dealers.
Partner with Sales to understand needs & requirements of major/target accounts.
Participate in review process giving input to the customer service manager to set goals/objectives for customer service representatives.
o Coordination of warranty and RMA process.
Liaison between technical (IQMS) and functional (department; sales, CS; operations, accounting, shipping/receiving coordinator.
Enter orders based on specific need whether initial order entry and within lead time advised by Operations, ticket issuance for technical resolution, parts order for internal transfer to off-site contractor based on request by Product Manager.
Specialized or Technical Knowledge/Skills:
2 yr.
Associates degree preferably in Business Management Minimum 3-5 years' experience in customer service environments in manufacturing or distribution.
Excellent verbal and written communications skills to communicate ideas, instructions, and information so they are clearly understood by others in formal or informal situations.
Highly effective people and team leadership skills in handling conflict management, customer relations and motivation of employees.
Ability to effectively handle difficult internal and external customers.
o Demonstrated ability to work independently, to work effectively across functional lines without formal authority, to handle multiple tasks simultaneously and to make consequential decisions.
Business analytical skills for identifying trends in service to customers and performance measurements.
Competency in the use of computers and software for business transactions, data analysis, and communication.
(Word, Excel, E-mail) Intimate knowledge of and hands-on experience using ERP Systems such as Oracle or IQMS.
